CN, MC, ML, ZT, NH, SB, NL present   There is not too much to say which is a very good thing……………….. thank you!! 😊    There were lots of little bitty things at the last meeting and majority of the points raised have been actioned and are working- thank you again. DAY LISTS- following on from the Exact incident last week, (Exact got an error message which resulted in an ‘re-index which took 3 hours!)  Day lists must be printed for ALL clinics THE NIGHT BEFORE and kept in the bottom drawer, first filing cabinet – key in metal tin at reception. Also if anything ‘odd’ noticed on Exact- please report/action straightaway. COMMUNICATION- Please reply to instant messages if poss. The labwork message in the morning causes most problems- so from now on reception will speak to the nurse re. labwork. Nurses- on arrival, get day list and note down who needs labs- then when CN/MC/LG arrive, you can confirm which labs- then nurses communicate this to reception. ESTIMATES- remember to send all estimates including just hygienist and if children need treatment. REFERRALS- if we get any letters/emails from the practice referred to (or NHS) change status on correct wait list to ACTIVE or COMPLETED- if unsure ask ZT or ML to show you how. DESKTOPS- if saving files to the desktop especially the server, please delete when not needed _______________________________________________________________________________ Recent Information Governance/ Data Security/ Confidentiality training- thank you to all that completed. In line with this training, a few areas have been highlighted where we could improve our practice. CONSENT- re husband/ wives/ older children if they say my Mum, Dad, partner will call to pay or make next appt- get a consent form signed and scan to records. We need to be more aware of getting consent signed especially for vulnerable patients ie. diagnosis of dementia. If this is difficult, get a consent signed for both husband and wife.   SCANNING- (used to be filing)- make sure all done night before- as this is confidential information- if scanning not done, it must be locked in the filing cabinet. -day lists are still getting left out- these need to be shredded at the end of the day. - CN/MC must log off Exact after using the server if away from the practice. - day lists in the surgery must not be placed where patients can see them. Etc.If put in front of the computer and dentist is showing xrays. - patients notes on the computer, only have the current patients note up when they are in the surgery. Clinical- SURGERIES- Becky and I checked a couple of the surgeries this week/ There is far too much stock in drawers and cupboards. Please surgery drawers stocked but keep spare stock in the cellar- LG in spare room. Drawers need to look tidy and organised so we can find things easily. DECON- all nurses (especially in the afternoon) please communicate/ look in the book what instruments are needed for the rest of the session. There have been couple of times lately when there have been open treatment trays left in the drawer overnight. On closing decon- please check all instruments bagged. Autoclave trays- towards the end of day, these need to autoclaved, dried and stored on the top of the autoclave, ready for the next day. If they are put down in the dirty end, they must go back through the autoclave again.   FIRE DRILL  - refreshed fire drill procedure.   Dentist/ Hygienist in Surgery MC/ 1           All persons within the surgery, decon room Dentist/ Hygienist in Surgery hyg                All persons within the surgery, lower staff area (old kitchen) Dentist/Hygienist in Surgery CN/3              All persons within the surgery, cellar, lower bathroom Dentist/ Hygienist in Surgery 4 - upstairs   All persons within the surgery, kitchen, bathroom, spare                       surgery, upper waiting area. Receptionist                                                     All persons within reception and office area, waiting area                                         BP/ BLOOD GLUCOSE- we practiced taking blood glucose readings and taking blood pressure. NEXT CPD TOPIC – SAFEGUARDING LEVEL 2 & 3 I would like us all to get to Level 3 in our Safeguarding training. We have all done Level 1, some have done 2 and some have already done 3. Can you all check on Algilio where you are up to and complete up to and including Level 3. I can tell you where you are up to if you need We have recently had a minor safeguarding issue which brought to my attention our ‘WAS NOT BROUGHT POLICY- this policy applies to all children and vulnerable adults and must be followed if an appointment is missed. Staff meeting summary- 17/10/2023 Present- CN, MC, ML, NL, SB, NH, OC. Stairs- I have recently done a risk assessment for stairs. Risk is calculated by assessing the level of risk and the probability of an incident. STAIRS =Risk MAJOR, Probability POSSIBLE with gives HIGH RISK. So moving forward, we need to be telling all patients to use handrails and take care on the stairs. However more likely is one of us slipping/tripping as we are more familiar and rush up and down all day. Therefore, can we all use handrails and don’t carry drinks down with both hands and please TAKE CARE! Security- As per previous WhatsApp, please keep all personal belonging in locked locker room and then press C to activate lock on the door! Please can we keep kitchen/bathroom door shut. HYG nurse/Early lunch- The hyg. nurse also needs to be decon. nurse as far as possible throughout AM and PM sessions. CN/MC are getting lots of treatment appointments back-to-back and their nurse needs to be able to get set up for next treatment. The early lunch regime is working well however the jobs need to be prioritised. I have placed a sheet on wall with list of jobs in priority order. There is space underneath to write any extra jobs. Basically, always bin and decon first- then stock, with setting up surgeries last. There is usually 40 minutes available so should be lots of time. Generally, can all nurses be more aware of what’s going on in the other surgeries regarding autoclaves, instruments etc.   COMMUNICATION- We have several issues that come up regularly that could be solved with better communication. We are still trying to minimise trying interruptions to clinics and keep using instant messages. Instant messages – Please reply if possible, there is no need to write a sentence just single word replies will do! -          just need very quick replies  ie. Y, N , new est, Denplan Taking pts in early- If patient is here for a double appt, please do not take in early unless discussed with the other clinician- this causes problems if then followed by a long treatment appointment. I appreciate this can be frustrating if made to run late but it unfortunately happens sometimes. Overall, we stay mainly on time which is amazing 😊  Treatment plans – If a treatment changes during an appointment eg. extra fill, new core, long term temp crown, 2nd hyg- please ask reception to send new estimate. Denplan rebanding- Currently, there is a Denplan rebanding exercise underway- if a pop up comes on about this, nurses-please tell the dentist, don’t just close it !! Dentists- if changing ban, please tell reception who will explain new rates, offer Essentials etc. Please close pop up when actioned. Death – If we are informed a patient has passed away, set task for ‘their’ dentist, and ‘their’ hyg (if they have a regular one) and also set task for RECEPTION (on task bar). SNC/FTA’s- Moving forward, all 2nd time SNC and FTA’s are to have a charge put on and the relevant email sent as per our policy- before doing this please make sure the patient has had a previous warning to this effect. There is no need to ask CN/MC/LG for their permission. Please use your discretion regarding certain issues where a charge is not appropriate- please make a note if this is the case.  If patient calls to SNC and rebook, please make sure correct email is sent with charging details, likewise if a patient FTA’s but then calls to rebook, please still send relevant email with charging details. Illness- When a patient call saying they feel unwell, reception often feel they need to ask dentist which interrupts their session. We have made the decision to ask patient if they feel well enough to come and let them make decision- no need to check with CN/MC- however still ask hyg’s and LG.   Consent forms- There are now consent forms for RCT (XLA to follow) for patients to sign, please make sure they are given at consult appointments and ask patients to them to bring back- if they forget, get another one signed (supply in each surgery). Nurses, please get out these forms ready at the start of each session so they are not missed. RECEPTION Please request medical form on portal tab before sending reminder texts. If this is not done, there is not always a medical history form for the patient to complete. When patients call to cancel and don’t rebook, if specific circumstances are divulged, ie illness- please leave note on the telephone tab. New patient bookings-please leave 40 mins rather than usual 30 mins  if deemed necessary- eg, wheelchair, sound ‘complex’. SURGERY/DECON Endo files- when autoclaving endo files, between RCT 1 and RCT 2-they need to go in autoclave on their own. Composite compules- please do not put empty composite compules back in the warmer. Xmas clinics- We are running in between Xmas and New Year slightly different this year. CN/MC are having open, bookable clinics on 27/12 (ZT/NL), 28/12 (SB,NH) 29/12 (RS/OC) from 9-1, everyone has been allocated a day- any problems let me know. Xmas ‘do’ This is booked for 08/12 at Topkapi Palace- we will need to make menu choices the week before- more info to follow. ENDO referrals- When booking endo referrals for MC, consult fee is £75.00, we are no longer knocking this fee off the full endo fee as previously. Denplan fees- Both Essentials and Care increasing by 10% from 01/2023- if any Care patients call to discuss the new fees and are not happy, please offer Essentials as an alternative. Simply Health APP- The GP/Physio app provided by Denplan is now up and running; you need to get app and register- very easy to do- any problems please let know.   Next CPD topic- Information governance and GDPR – CPD holiday over!😊  Please can you all complete the following course before next meeting. Data Security and Protection Part 1 and Part 2 (30 min) Maintaining and Protecting Patient Confidential Information (30 min)   Natasha is now GDC registered – whoop! 😊   And a big Thank you to Becky for all Bake off stuff- we are all thoroughly enjoying it!! Practice meeting summary– 23/08/2023 Present – ML, CN, MC, ZT, SB, OC, NH, NR, & RS (remotely) Restructure of lunchtimes Lunchtimes have got very scrappy; everyone getting a different length of time; kitchen space too busy, so we are going to introduce some structure- not like the Covid years- but more specific times for each nurse depending on the surgery they work in. This helps with the security issue of having the front door open all day. Also, this allows more flexibility and eases things should CN/MC/LG run late. Becky did a trial run last week and it worked well. The lunch break is 40 mins. Hyg nurse-   to start lunch, straight after 1230pm appointment ends, but definitely no later than 1240pm- then back down 1-15pm-1-20pm. There is no need to do anything except wipe surgery down, instruments can be done later. I will endeavour AFAP to make sure all nurses get an AM hyg. shift. From 1-20pm – tasks that need completing in this order. -          Decon. room   -          clinical waste outside (this needs to be done when no pts. in waiting area). -          set up all other surgeries for the afternoon. -          if any pts come in- take details and reception will call back at 2pm or give if I’m around give ME a shout. Reception – lunch 1pm- 140pm. Reception always jobs to catch up on- ie. audits etc. This will have to a little more flexible when I’m in the surgery- discuss on the day. MC/CN/LG nurse- when AM session ends, usually 1-10pm- if you finish late- just place  dirty instruments in decon. Mandy- I will go on my lunch 1-15pm-1-20pm when hyg. nurse comes down. Clinical Orange clinical waste bags to be taken out each day as above, please do not carry waste through the waiting area whilst patients are waiting. End of day, please ensure all clean instruments are away in surgeries; clean boxes wiped ready for next day. If you notice equipment not working, please let me know ASAP so we can get it sorted. We recently discovered the water in the hyg. surgery was not running properly; this means the lines cannot be flushed through effectively. McKillops are coming on Tuesday to sort this. Antibiotics- Decision made today for nurse to deliver AB’s to reception, reception will then take payment and give our AB’s- always check foe allergy to Penicillin- we can’t check this enough times ! CN/MC/LG will continue to put AB notes on patient records. Fire Drill- we briefly went over the practice fire drill.      Reception Estimates- The estimate check on the daily log seems to be working. I am unaware of any recent ‘misses’. However, when booking all patients in for treatment especially our older patients who are not very tech savvy, please ask if they would like a printed estimate as well as an email- still always send email if we have an email address.  If no email being sent, get a signed estimate, scan then shred.   CN/MC/LG – when patients arrive to start a COT with multiple treatments, please ask the patient if they have had the estimate, they understand the TP and they are happy with to proceed. Nurses, please remind or ask yourself. Scanning/filing- Moving forward all letters and lab tickets to be scanned and then shredded- ensure the scan is readable before shredding. All can still be printed off again if required. New patients- 30 mins is adequate for most new patient exams- however on initial booking if you think ‘their needs’ may be greater- please book 40-45 mins. New patients all still to LG if possible, CN/MC no new pt exams for 6-8 weeks unless they have been specifically recommended to CN/MC. If new pt calls with pain, not a Monday,  book a view with CN/MC @ £50.00 and explain they can then book a new pt exam with LG.   Debt list- Our debt is very small however it is pretty much all £10 charges for AB’s , usually Denplan- they don’t always go to reception and if reception is busy don’t always see them leave. See note above re new process. Treatment blocks- please do not book exams over treatment blocks. They are there for a reason.    CN Tuesdays especially have gone back to being full of exams and CN not loving this. We are all guilty!                                                                                                                                                                    Likewise with Emergency blocks, if booking over please put another block in at a different time on the same day. If there is not another space the same day, the appointment is not available to book; emergency blocks need to be left book same day emergencies in. Upstairs check- we still need to be checking that pts booked into upstairs surgery are ok with using the stairs. Emails- make sure emails are saved to relevant person who the email is about. Archived cards- please write date in pencil upper left. This is the date they last attended the practice, not the date they told us they were leaving. They can then be filed in correct date. Denplan- when we send the email containing the Denplan Essentials link, please give Denplan info booklet (in cupboard behind reception) and draw attention to the separate insurance info- no hard sell but as well as worldwide cover this also covers out of hours emergencies when they are at home.  We have noticed recently not all (only a few) haven’t taken out additional insurance (60p per month). This is now noted on their records as they would have to pay if they called out CN/MC/LG out of hours. Also, when we see they have joined Denplan Essentials, at their next visit, we must get a Denplan Essential contract signed, and scan to pts records. Their online form is just their contact with Denplan. This will show as a pop up on the patient records. LG/upstairs- we have placed an advert in SK magazines for next publication. Denplan are providing us with a full practice postcode report. This will enable us to do a targeted leaflet drop. Any willing posties, please let me know. Screens – We had mixed feedback. We are going to trial just having one screen up to stop patients peeking over but allowing reception to hear better. Tomorrow (24/08)- unusually there are 2 x locums as ML and ZT off for GSCE results- RS on reception and OC in with hyg. Any probs- please call. Emergency Drugs- End of August BUCCOLAM and GTN spray both will expire- both ordered several days ago but on back order. There is a note on emergency bag- new drugs should arrive next week. Please make sure they get locked away in filing cabinets (Controlled drug!) Next week (29/08-01/09)- MC and NR off- ZT, ML, RS also off – all surgeries and reception covered. I’m back from Wales Tues PM if any issues- I have out of office on my emails but will check occasionally- WhatsApp me if any issues. 15/09/2023- Night out – it’s great that lots can make it – I’m sorry not all can make it, I have booked the restaurant (Mekong Cat) for 8pm, we will meet 700pm-715pm for drinks- details to follow. XMAS DO – I propose FRIDAY 08/12 or FRIDAY 15/12- I’ll put a poll on the group and we’ll go with the most popular. It is also Nat’s 40th and Sarah’s 50th in December so lots to celebrate. Staff Meeting Summary 18/05/2023 Present ML, CN, MC, RS, SB, ZT, OC, BW. Recent CQC Well done to us all for fantastic feedback from the CQC! Thank you to all the work that was done, in preparation for the day and on the day itself. But mainly how well we work every day as a team!! It was great to hear that we are doing such a good job- keep up the good work 😊😊😊 Wheelchair/ Disability Access Following on from the incident with MC pt on 10/05/2023, we discussed our disability access policy. We decided if a patient tells us they are arriving in a wheelchair or has mobility issues, we will ask if they can come with a carer who can assist them into the practice, transfer them into the chair (if required/possible) and then stay in the practice to assist them on their journey home. We have a ‘Transfer from Wheelchair to Dental Chair’ procedure which can be found in the Practice Policies – Health and Safety. This says’ ‘The extent of your involvement will depend on the patient's or caregiver's ability to help and should only be attempted if confident to do so. Clinicians may need to consider referral to specialist clinic for safe treatment of wheelchair dependent patients.’ The decision on whether to attempt a transfer into the dental chair must be made by the patient, the caregiver and the clinician. The nurse present must only assist if they feel confident to do so. If a decision is made that it is unsafe to transfer, then this must be explained to the patient and/or carer; then any treatment that can be carried out will be done in their chair as far as possible. They may need a referral to have further treatment carried out. Medical Histories We have a few occasions recently where new patients have arrived and they haven’t completed the portal and don’t wish to complete the Clinipad (often issues around technology). We have on occasion been helping them with this over reception or sat with them in the waiting room. However, due to the lack of privacy we are going to stop doing this. In these circumstances, the clinician will record the MH verbally and then the patient will sign the Clinipad at reception. We will trial some paper MH forms (when I’ve created them!) for these fortunately rare occasions. Again, we discussed checking medication verbally with patients as they often say no changes when their meds have changed. Antibiotic prescribing Occasionally we are missing batch number and expiry date- nurses remind CN/MC/LG if noticed. Flushing lines Remember to flush all lines daily, this includes the portable NSK scaler in MC surgery and all the lines in the hyg surgery. Log Sheets Please make sure you are on the right month on the daily log sheets. Day lists Day lists are still getting left in surgeries overnight. For confidentiality, please give to reception or put in locked filing cabinet at end of day. Tooth Whitening Increase in prices- full course £295, 1x tube £25, 2x tube £45, 4x tubes £80. Please select the 48 hour service on the lab voucher- book appointments 1 week apart. Car Park The car park has been very busy recently but especially on 4 surgery days. We have had some comments from patients. All patient emails explain we have a small carpark that may not always have available spaces; this also gives the location of the free carpark that we all use. I have changed the emails to make this stand out more and be more visible on emails. Reception All upstairs clinics are now marked in bright green stripes. When booking in these clinics please ask patient if they can/want to use the stairs- leave a note on the appointment. When saving emails, please check the email is saved to the correct person ie. Husband/wife sharing an email or parents emailing re child. If pt cancelling for specific reason ie. very ill- please leave note on telephone tab. This helps when contacting the patient with recalls etc. If a patient declines or doesn’t wish to book hyg appt at exam, please TC these COT’s and leave a note on the telephone tab. Emergency gaps- please leave these gaps until the same day if poss- if you book over, please put another one in at a different time. CN diary now finishing at 1pm on Friday so if necessary one emergency can be seen at end of session. When a patient calls to cancel ex/hyg appointments, please make sure both parts of the appointment are cancelled. New, new, new cleaner! Sarah, our new cleaner, starts on 22/05/2023. Upstairs kitchen We discussed the upstairs kitchen. After buying a new fridge, we will soon be moving everything ‘kitchen’ upstairs and using daily. Eventually the downstairs kitchen will be decommissioned and made into a ‘multipurpose/meeting’ room with possibly an OPG in the future. Garden Garden and back patio not looking its best. We are looking into replacing the gardener and getting a skip for the remaining rubbish. Mike will contact his gardener to see if he wants he work. Fire Drill We reviewed our fire drill procedure; if rear emergency exit is used, if safe to do so, make way to front of the building, end of carpark. Next Topic CPD Following on from the tremendous amount of lovely training done prior to CQC, let’s all have a few weeks off! Thank you all again for your great teamwork!! Mandy 😁x

Present CN, MC, ML, RS, NL, ZT, SB Fire Drill and Fire Policy - We discussed fire drill, fire policy and new extinguishers and rear emergency exit - Same arrangements for evacuation downstairs- clinician working upstairs responsible for checking all upstairs rooms. If no one ‘working’ upstairs, CN/MC/ML must check upstairs if possible in case someone in upstairs bathroom/kitchen. - If you have not already, please confirm you have read the fire policy and the fire drill procedure (Practice Procedures> Health & Safety). Also if you could complete the Fire Awareness course on Aglio that would be great! Upstairs - Workmen in this week sorting fire doors ahead of building inspectors on Wednesday 15/03 - Then we need to do ‘snagging’ and finish decorating, source waiting room chairs, pics, etc. - Laura’s first day was 06/03 and went well. - James is hoping to do more sessions and the plan is to possibly take some outside referrals also, possibly with the addition of sedation- watch this space- any nurses desperately keen to do sedation nurse course, let me know! Reception - Reception generally very busy at the moment, however especially Mondays and in the near future Wednesdays, when there are 4 surgeries it is particularly busy. I will be assisting Natasha on a Monday when possible (instead of working with MC). However, we need to use any extra ‘nurse’ time around lunch to help on reception and with additional surgery tasks- weekly tasks and deep clean schedule. I will show Sarah and Olivia some basic reception skills so they can help here too. - Whilst on reception, when really busy, focus on the patients at the desk, let the phone go to voicemail- if a new patient calls if absolutely necessary take number and call back asap (as it can take up to 10 mins to take details, take payment and book appt). Please send instant message to ask for assistance if needed- if nurse available they will come and help. - View’s with CN/MC/LG – these appointments are always chargeable unless CN/MC/ LG send message to confirm no charge. - Laura/ James / hyg only patients all to go through the LG/joint card machine - TC’ing- hygienist much better but still quite a few exams not getting TC’ed- please check end of session if possible. - Be mindful of using patient’s names behind reception or in office area when other patients in the practice- use initials or indicate on computer if information needs to be shared. - Estimates- the daily check on reception log seems to be working- however, if treatment changes during course of treatment this will not be picked up by reception- if this happens CN/MC/LG needs to resend estimate or ask reception to resend estimate. - There will a fixed telephone fitted upstairs. CN/MC surgery phones is being replaced with a cordless handset that will be in office area behind reception. - Popping in the surgery- can we be mindful that when CN/MC/LG has finished with a patient and the door is open they are still writing notes and are still busy. If possible, please set tasks or try and wait till end of session. Denplan - If any patients are interested, we are accepting Denplan Essentials- not really accepting anymore Denplan Care patients. If new patients asking, registration doesn’t cover initial £80.00 exam fee, but feel free to stress first hyg appt will be covered and 15% off initial treatment will be honoured if we can see they have signed up on Denplan website (Denplan isn’t always active until start of month after sign up. Surgery - Medical histories- Portal and Clinipad working well, however we are finding patients very quick to sign and say no changes especially to meds list- please verbally check meds list in surgery when possible. Latest guidelines following heart attack/ stroke- no invasive treatment inc hyg visits for 6/12, joint replacement 3/12. - Weekly tasks/pouch checking not always getting done. I appreciate we are very busy but please try and get back on track with this. Deep Clean Schedule was meant to be a rolling process over a 3/12 period but this is not working. Any ideas welcome as to how to improve this ? Initially, I will place the deep clean log in a plastic wallet inside cupboard to make it more accessible. - Pulijet- all 3 dentists surgeries now using Pulijet- this can get very messy and stains sinks and work surfaces. After use, please wipe out bucket so it is clean when the Pulijet bottle is put back in and keep Pulijet bottle wiped clean. Thank you. Chris, Mike and I would like to thank you for all being so patient during the last few months. We appreciate the changes, the noise, the mess etc has been difficult and there has been very few complaints. We have had lots of very positive google reviews and direct positive feedback from patients. We are clearly doing something right so please all stay being marvellous !! Practice Meeting 10/01/2023 Present ML, CN, MC, RS, ZT, NL, SB, NH, OC Clinical - There are changes to daily logs to include weekly tasks, as previously done before Covid ie. wiping cupboard fronts, bin cupboard etc- please complete weekly and record. Also please keep aware of the deep clean schedule present in all surgeries and complete tasks when time available. - Hygienist log now reminds nurse to check all appts are getting TC’ed- please check every session - Suction machines x 2 need to be turned off at night- CN and MC have a blue switch on the top- to be turned off only when they are quiet- just before we leave to ensure they have run through- ask to be shown if unsure. - We currently do not record that we are aware of (read) and know where all the policies are kept. I would like to record this annually. I will prepare some signing sheets to cover each area- H/S, IG, Cross Inf, Employee Handbook etc. We can sign these annually to show we are all aware of these policies- some more relevant to certain people but please at least have a scan through. - HIT hyg appts are changing to 3 x 30 min followed by 30 min appt with dentist Rev after 3/12 (previously 2 x 40 min…………………). The third 30 min appt in this series can be used or cancelled as per hyg’s instructions. CN/MC will advise patients when requesting HIT appts, their first appointment will be mainly recording info and v gross scale. - Barbara has asked can CN/MC remind pt’s to bring their electric TB to their appts- esp. new pts. Reception - There is now a handover book on reception for me and reception to communicate better- please read and use. - New patient contacts- if just a general query after replying to initial enquiry- please write email address in back of handover book so I can follow up after few weeks. - Portal reminders/ reminders- when doing day before reminders- send correct one- either one with portal link or the one without. - ESTIMATES- there are a few slipping through the net- not many but can cause a conflict when not done. I’ve added ‘check all estimates sent’ to end of session reception log. - MC (and possibly CN) is going to extend his lunch on some days, to facilitate run and shower- MC to confirm with reception which days and when to start. Upstairs - Upstairs surgery should be completed Monday 23/01/2023. Also 23/01/2023 PM hyg surgery will be dismantled. Hyg will work in MC surgery on this week (MC on hols till 30/01/2023). The hyg chair will have to be put in the existing kitchen- so limited use of the kitchen this week- sorry. - Tuesday 24/01/2023- Friday 27/01/2023 knock through and all common areas areas ie staircase will be completed. - This will no doubt be stressful and probably messy, there will be extra cleaning- SORRY ! - We will be getting Laura’s some sessions open on Exact soon – possibly mid Feb- so we can get some new patients booked in with her. NEW PATIENTS and Laura - We need to come across well to new patients. She is not NEW just NEW to our practice For example. ‘We are really lucky to have Laura joining the practice from February; she is an experienced dentist with over 15 years’ experience and she is accepting new patients straightaway…………….’ I will put a few words together and put on reception to help- but we need to avoid calling her the ‘NEW’ dentist. - Nat will be working Mondays with Laura and supporting rec until Laura gets full. - NR hoping to start Wed am- NL will pick up this session as well as Thursday once GDC comes through. Sometimes, there is extra times around lunch, esp. when MC extends his lunch and if working with hyg, please use this time to get any ‘extra jobs’ done including reception tasks as we get busier. Obviously, the practice will get busier and may feel different initially, but I want us to remain the lovely team we are. Just a quickie ........ Upstairs Upstairs is taking a little longer than planned due to coordinating plumbers, electricians and McKillops. The plan is currently for the upstairs surgery to be completed the week beginning 23/01/2023. Also this week, the changes will be made to the current downstairs hyg surgery and the knock through for the stairs 🙈😯. Mike is on annual leave this week and Barbara is also off the following week. Pay Review Chris and Mike have reviewed the wages; there will be a 5% pay increase from 01/01/2023. TC'ing We still have a problem with appointments getting TC'ed especially hyg appointments. From Jan 2023, on the end of day hyg log, there is an additional item to go through and check that the appointments have been TC'ed. Daily Log From January 2023, we have resurrected the weekly task list on the surgery logs if you could all complete these tasks weekly it would be much appreciated. Xmas Hours We have emergency sessions open on Wednesday 28/12/2022 (Chris with Natasha and Sarah) and Friday 30/12/2022 (Mike with Nat and Olivia). Becky and I will be in on Thursday 29/12/2022 to do some 'sorting'. HAVE A VERY MERRY CHRISTMAS AND A HAPPY NEW YEAR !!!!!! Mandy 😀🥂

Hi All, Just a few things....... Cleaning We have acquired a new cleaner; a lady called Naomi who owns Tilly's Cleaning Services will be cleaning the practice regularly from tomorrow. Hooray...... no more mopping !! Thank you everyone for pulling together and managing the cleaning over the last few weeks. I am hoping Naomi is more successful than the last one 😬 Decontamination Process I have recently done the annual review of the cross-infection policies and I noticed that there were a few things on the Decontamination Process Policy that we need to amend slightly. 1) Any contaminated instruments, left at the dirty end of the decon, need to be scrubbed ready for processing the next day- they can then just be put on a tray in the morning and autoclaved. 2) All clean instruments should be kept on a lint free cloth in the clean box- not loose- the clean boxes can then be wiped and dried end of day, ready for clean cloths the next morning. 3) Any unpouched instruments left in the clean box at the end of the day, that have been in the surgery, need to be fully reprocessed before pouching. Day Lists We are going to have printed day lists again. These will have patient phone numbers on so if Exact crashes or the electricity goes off, we can contact patients. Also, this will facilitate the review emails we are going to start sending- see next point. Google Reviews We have started sending follow up emails to patients to gain some feedback; this email gives them a link to click on to leave a Google review if they wish. Chris and Mike will leave 'stars' on the day list at the end of the day as to which patients they wish to receive this email. These day lists need to be given to myself, Zoe, or Natasha at the end of the day or left in the left bottom drawer of the locked filing cabinets. No day lists must be left in the surgeries or lying around due to confidentiality. Resus training Don't forget resuscitation training Thursday 08/12/2022 130pm- 400pm. We are still hoping to get photos of you all on this day for the website. Just a few bits........... Olivia and Natasha have both settled into the practice really well. Olivia has now started her course and is starting to have some independent sessions with Chris and Mike. We are going to be a little more proactive with our social media presence. We already have a Facebook page and we now have an Instagram account #Arundel_Dental Natasha and I will be posting regular posts on these pages to promote Arundel- nothing too cheesy but it is the world we live in. If you could like /share it would be much appreciated. Also, if anyone has any ideas in this area- please share. We are in the process of having a sign made for the front of the practice to show that we are accepting new patients. Any new patient contacts that don't want to book, please offer to send new patient info email or direct to our website. Thank you for all bearing with the noise (especially those working with CN and hyg) and patient parking moans- hopefully all this action means they are making good progress!! Mike has updated his Endo referral fees- see note on reception. Emails have been changed and I have let The Whitehouse know. Becky has now put a Deep Clean Log in each surgery. This is a rolling document that will get completed over next few weeks, if you have any spare time, please complete a task off the list. Decon room- Alpron water, when the 5l Alpron is empty please leave on the top until it is filled. Thank you for all your hard work, Mandy😀

Practice meeting summary 22/09/2022 Present ML, CN, MC, ZT, RS, SB, OC Staff We welcomed Olivia to her first practice meeting- she is doing very well; her course starts on 10/10/2022. Olivia’s training day will tend to be Thursday. New starter Natasha starts on 03/10/2022- doing Mon /Tues reception and then will start nursing on Thurs when has GDC registration. WE WILL BE FULLY STAFFED!! Upstairs The building work upstairs is coming along very nicely- the first surgery due to be finished in December. Hopefully, new dentist Laura will be doing one day per week initially; then will build up list and hopefully increase days. James will be using for oral surgery and implants. We will need some more hygienist sessions- how much and when to be decided when we know Laura’s day/days. New Pts We have finally worked through the new patient waiting list; new patients can now book straight away. CN/MC have white space that needs booking, I’m aware hyg. appts still a prob however still multiple cancels every week- CN/MC will push this point at new patient exams. When new patients call, take all details including D of B (if no D of B they can’t log onto portal to do medical history). AND TAKE PAYMENT- always explain refundable if cancels with over 24 hours’ notice MC/CN It is important to find out how the new patients found out about the practice and record in notes- this info will help if we need to advertise in future. Either in the Drop down box under email on patient details page or just in the exam notes. TC’s We think we have solved the main issue- I found that double appts (ex/hyg) were ending up on 2 COTs and only 1 getting TC’ed. Can we all check each time that this isn’t happening. Estimates Please make sure all patients returning for treatment even just a hygienist gets an estimate emailed- few slipped through the net. Running late Can all surgeries let reception know if they are running late- even if is 5 mins- now we are using the waiting room- it can get really awkward. Cold sores I am changing the email reminders to include ‘please contact reception before your appointment if you have a cold sore’. We can then consult with the clinician if they are happy to still see the patient for their appointment. Website We have a great website- I think this is how we will get more new patients- it’s so easy to direct patients to for information. Currently all staff listed with brief bio- only pics of CN, MC, JS – we need pics of the rest of the team. We decided that on CPR training day (08/12/2022) we will take some staff photos for us to upload onto the website. Uniform We discussed reception/manager going back to ‘reception’ uniform in light of Natasha starting. We decided that ZT, ML and NP would wear reception uniform but keep some scrubs at work should the need arise. Surgeries We are no longer using the spray bottles. We are changing solution in decon at lunch times. Impression baths discussed for far too long ! - change every session. CPD Last round up I asked that we all complete the Learning Disabilities and Autism module on Agilio. This is a legal requirement for the CQC and the BDA have also announced it. Moving forward- I’m going to try and monitor CPD and pick topics we can all follow to streamline our CPD including dentists/hygienists. Next topic HAND HYGIENE-if you can all complete the Hand Hygiene course in Disinfection and Decontamination on Agilio. Becky is going to be doing an annual hand hygiene audit. RESUS TRAINING BOOKED FOR THURS 08/12/2022- please all attend if possible. Mandy 😀

Hi All. Apologies, I've not done a round up for a while due to hols.🏖️ Just a few points - Decon/ surgery - We have now stopped using the spray bottles in the surgeries. Please clean down using the wipes as previously done. The filters must be soaked in a bleach solution at the end of day. - We are going back to changing the wash bath in the decon. every lunchtime as we used to before 'Covid'. The daily log has been changed so this can be recorded. Training/CPD As a health and social care provider registered with the CQC, we must all receive training on Learning Disabilities and Autism. This is a new legal requirement on the Health and Care Act 2022 and was also announced by the BDA last month. There is a course on on Aglio- go to Staff Development> Learning Disability & Autism Awareness. It is a 1 hour verified CPD course; I completed it yesterday and it was very straightforward. If you can all get this completed ASAP, and let me know when you have completed this course, I will add to your PDP and training record. Moving forward as I have more time, I will set CPD topics each month or in line with the staff meetings so we can ensure we stay on top of our CPD and our training is consistent across the team. Reception The outstanding treatment list is getting longer and longer and there are still many courses of treatments not TC'ed. Please TC those treatments! Nurses working with the hyg, at the end of each session could you please spend a few minutes checking back through the session to see they are all done. We have pretty much worked our way through the new patient waiting list so hopefully from the end of next week we will be able to book new patients in as they ring. We will review this should we get too busy. Recruitment Olivia is due to start on Monday 05/09/2022. Initially, she will be assigned to a nurse each day to shadow then hopefully after some training she will soon be able to work independently. Her course will start mid October. I will print some info regarding cross infection, charting etc. so we can all explain things to her in a similar way. It looks like a beautiful weekend .................... Hi Everyone ! GDC registration The annual GDC nurse registration and declaration is almost upon us! The funds will be available after 15/07/2022. If you pay your GDC reg by direct debit, ask CN or MC to transfer the fee to your bank account after this date. If you want to pay for your GDC via the practice card, speak to Becky as I will be on holiday from 18/07/2022- 01/08/2022. Please also get your CPD shipshape and logged on your eGDC. 😀 Stock As stock arrives, please cross it off the stock list for each surgery. These stock lists are on reception, in the middle drawer, blue folder. Can you also remember to write any back orders on the back order lists that are pinned up on the notice board near the xray machine? Lab work Couple of things ........ as lab work arrives please remember to write *lab work received* in the appointment book. Also please remember to write which lab the work is going to and that the lab work has been disinfected, both incoming and outgoing, on the clinical notes. New Apprentice Olivia has accepted the offer of an apprenticeship at the practice. So I have started the recruitment process; hopefully Olivia will be starting end August/ beginning Sept. 😊 Have a lovely sunny weekend, Mandy 😎

Hi! Just a quick round up this week. Following on from the meeting last week, we now have a Clinipad available on reception to pick up the medical histories of the patients that are unable to complete the portal. We are still encouraging patients to complete the portal whenever possible. There is also an option for the patient to read and sign their estimates on the Clinipad if required. There is now another smoke alarm fitted in the cellar, middle of the first room- next to the CO2 detector. This needs checking weekly with the other one in the hall. Can we also check and clean the water cooler drip tray weekly? I have added this to the weekly jobs on the reception log. And finally, please can the surgical trolley, in the hall- by the kitchen, get a thorough wipe down every week as it gets very dusty. I have added this to the weekly tasks on the decon log sheet. Meeting 16/06/2022 Present, CN, MC, ML, RS, ZT, SB Thank you all, for your patience as I find my feet. Now I have more time and am getting a better understanding of my new job, I am really enjoying it. We really are a great team!! Medical History recording We need to ensure that we have a ‘patient completed’ medical history annually. This was being recorded via the portal during the Covid restrictions as best as possible, however some patients do not complete the portal and can have gone well over 12/12 with just verbal checks recorded. To address this, we are reinstating the Clinipad's at reception, ideally, we will still be encouraging the patients to record their MH via the portal, as we want to use the Clinipad at little as possible for MH’s. (I will let you know when the Clinipad is up and running). On exams, if you could record the patient’s notes to show the MH status more accurately, showing when the last portal/Clinipad was completed, that we have reviewed in surgery and the patient reports no changes. EG. Last recorded via portal 07/2021, reviewed in surgery today, pt. reports no changes. We are also looking into the patient’s to be able to sign their estimates on the Clinipad. Note recording in general Please make sure the notes recorded are accurate; especially when using the quick notes- delete the non-relevant bits. Please record x-rays in the exam notes as well as an additional item. And remember to tick bleeding for the code 1’s on the BPE’s. Short Notice Cancellations/FTA’s I am reviewing the email templates next week so the first FTA/SNC email that gets sent shows the amount we charge for missed appointments (£30.00 per 15 mins), vey politely and just to serve as a reminder. I will also delete the email templates that are no longer relevant. Short Notice Cancellation List The short notice cancellation list is now very short as we are now able to book treatment appointments sooner. However, this means if CN/MC/HYG gets cancellations there have been no patients to call; so, we need to be asking more patients if they wish to be called should a SNC come available, even if their appointment is only 3-4 weeks away. General admin The FTR list was extremely long again this month with many courses of treatments, both hyg and exams, not TC’ed. Please try and remember to press that TC button if the patient isn’t coming back for treatment. Don’t forget to send estimates for treatment courses. Orange Bag Collection We have now reduced our clinical waste collection to every 4 weeks instead of every 2 weeks (as it was pre Covid). With the reduction in PPE and no plastic trays, this will hopefully be sufficient. This reduces the waste disposal bill by a whopping £700.00 per year! So get squashing the air out of those bags and place in the outside bin as neatly as poss. (Bin bag Jenga 😂!!) Air Flow in hyg surgery The airflow needs to thoroughly dried before bagging in a pouch. You can remove the rubber seal and remove the plastic dome to dry if easier. If it is used later in the day, please leave, covered, to dry overnight. Also, after using, please rinse the patient goggles instead of just wiping as the powder gets everywhere. Recruitment We met a young lady yesterday who was looking for a training position. I have invited her over in the next few days to spend a couple of hours here, just to observe and see what she/we think. I have also placed another advertisement on Indeed for a receptionist to cover Mondays and Tuesdays. We have several applicants already, so I’ll keep you posted. Building Work The building work on the upstairs flat should be starting in the next 2-3 weeks. Exciting times for Arundel!! Hi All, Following the withdrawal of the 'Infection prevention and control for seasonal respiratory infections in health and care settings (including SARS-CoV-2) for winter 2021 to 2022' policy by NHS England on 27/05/2022- we are now changing our procedures slightly. The wearing of masks in now not mandatory within a health care setting, we are however still encouraging our patients to wear masks whilst in the waiting room; if a patient asks we are to say it is still encouraged. The sign on the door has been changed and the reminders also state this. The alcohol gel is still available for them to sanitise their hands. We no longer have to perform any pre- appointment checks prior to attendance at the practice. I have, however, put on all the email reminder templates ' As your appointment approaches, if you feel unwell, you must ring and rearrange your appointment.' If a patient calls and asks they must be told if they feel unwell not to attend their appointment. The link to the pre-appointment screening form has been removed from the portal. There are still the portal links in place to complete MH forms and review their details. The email templates have been changed to reflect this. For staff- we are still wearing masks in the surgeries and as we move about the practice. As the Covid testing is also is no longer required, we ask that if you feel too unwell to work that you inform us as soon as possible. If anyone has any concerns or would like to discuss this further, please speak to Chris, Mike or myself. Have a lovely long weekend. Mandy 😀

Good Evening everyone. Where to start .......... for those of you who don't know, unfortunately ' New Michelle' won't be continuing with the practice. She feels it is not the right time for her to continue with a new job at the moment, but also added that you are all lovely (as we know!) and made her feel welcome. So onwards and upwards ......... . Obviously this means we are back to being shortstaffed so any extra help gratefully received. Thank you to anyone that has picked up extra shifts. I am putting our vacancy back on Indeed this evening. Just a couple of other things- Now I have learnt to do the FTR (failed to return) list properly it would appear that it is still quite long and the majority are courses that have not been TC'ed- if there is time at the end of the session- esp. hyg. nurses- can you just check through to see if the TC's are done. Also when working with the hyg. can we double check the right code has been put on before pressing charge ( private or essentials). After filling in the surgery logs, can you save then close them as I've noticed that if they are left open they don't get 'backed up'. Last thing...... when filling the little autoclave don't forget to check the red valve is closed before filling (I know I didn't) as we had a very soggy start to Tuesday. 😆 See you all next week- have a lovely weekend, Mandy 😁

Hi All. Now I have more time, I can get back on track with the weekly round ups. I will popping them on here on Wednesdays. Firstly, I would like to welcome our new nurse, Michelle to the practice. Apologies to everyone that has their Sling Notifications switched on ! There has been much jiggling with the rota this month- me getting used to it and some staff changes- hopefully moving forward there will be less changes once it is published. You will have noticed that the colours have changed on Sling as I have now added the hygienists as separate shifts ( BW hyg, NR hyg and LS hyg instead of hyg nurse). This just makes it easier to understand especially on Tuesdays when Barb and Nicky are in. Barb is starting her Tuesday afternoon session from 17/05/2022. If I have any gaps in the rota, I will put them on the practice WhatsApp group. Nurses working in MC surg- there is now a 3-in 1 on the nurse's side which has it's own separate water supply (bottle under the spittoon) which needs changing every morning and the 3-in 1 needs flushing through also. Please put the patient 'in the chair' on Exact only when you bring them into the surgery so there is no confusion especially with double appointments. I'm off to spend my 50th birthday vouchers tomorrow, Friday and Saturday at the lovely Crescent Hotel in Buxton- see you all next week. Mandy 😀
