Hi Everyone- This is Mandy not Michelle - still working out how to change the name on Wix ! I will try and get back on track with the weekly round up's from next month. Just a few notes from today's staff meeting. Staff meeting 20/04/2022- CN, MC, ML, ZT, NH, RAS present Thank you for bearing with me over the last 3 weeks. I’ve still only scratched the surface with my new role but I’m learning all the time and hopefully once we’re fully staffed again, I can get on with all the tasks. Thank you for any extra sessions you have covered. Staff changes - We have a new nurse, Michelle, starting on 09/05/2022. Michelle will work all day Monday (with MC), Wednesday (with MC) and Friday (with CN). - Becky has been promoted to Lead Nurse (well done Becky!) and will now also work on Tuesdays- she will have a clinical admin session every Friday morning. - I will be here all day Monday- Thursday- I will be working with MC all day on Thursdays. - Rachel is changing to 2 days per week- Monday and Tuesday. - Sarah is changing to all day Wednesday and Thursday and most Friday mornings. Hyg - Barbara will be starting her Tuesday afternoon sessions in 17/05/2022. Please book up from the start of the session onwards. FTR list - Following on from the last meeting, Zoe has noticed the FTR list for last month was considerably shorter. Well done- keep TC’ing !! New Patients - Our new patient list is still closed. We can add family and friends to the waiting list (mark as priority 1) but the waiting time is still several months. We have recently sent out some invites to the people who have been waiting the longest, to book an exam in June. There is a pop up note on these records. Surgery/Decon logs - Over the next few weeks, Becky and I will be reviewing the surgery and decon logs and there will be some minor changes- watch this space! Covid - if a patient calls to tell us they have had Covid positive contact, we must check they have done a negative LFT within the last 24 hours and they are symptom free. We can then go ahead with the appointment. If they call to say they are unwell ie. cough/cold, we need to assess whether they are well enough to come and again they need to produce a negative LFT. - Staff members, as per the NHS/ BDA guidelines, if we test positive, we must stay off work for 5 days. We can return to work after 2 consecutive negative LFT results (taken at least 24 hrs apart), with the first LFT taken 5 days after the day the symptoms started or the day their first positive result was taken. Fire Drill - We briefly went over the fire drill procedure. Just to recap- Anyone discovering a fire must immediately give the alarm by shouting FIRE or sounding the panic button on the security alarm at reception. Surgery 1 (MC) – responsible for their surgery and decon area Surgery 2 (hyg) – responsible for their surgery and kitchen/staff area Surgery 3 (CN)- responsible for their surgery, bathroom and cellar. Reception- responsible for reception/office area and waiting room. All persons present in the building to be evacuated immediately to far end of car park. Personal possessions to be left behind.

Message from Michelle As my time as PM draws to a close and the rest of this round-up is handed over to Mandy, I just wanted to thank you all for making my time at Arundel so special and memorable. Arundel will always have a very special place in my heart and I'm proud to have played a small part in it's history. Officially, I became PM back in 1996 but my involvement began at Arundel's inception in 1990. Over the years there have been many changes - conversion from NHS, CQC and all the increased regulation, DCP registration and CPD, change of owners and finally the COVID bombshell. I have reflected on the people who helped make Arundel the Practice it is today; Charlie and Clive for taking the plunge and laying the foundations for a thriving Practice. Carol Eldridge who start the quality hygienist service (believe me, perio wasn't a priority in the 1990s) and Joy who continued her good work. Barbara, Nicky and Lauren now continue this legacy and their dedication and commitment to providing excellent patient care has been inspirational. All the receptionists and nurses over the years, some good, some more challenging ! I can say with confidence that the current team are the best I've worked with, so thank you. I'm sure you will continue to give Mandy all the support you have willing given me over the years. Finally, Chris and Mike - you have maintained Arundel's original ethos but made it your own. You both deserve all the success in the world, you provide exceptional care for your patients and they are all very lucky to have you ! It has been a pleasure to work for you. I'm looking forward to seeing the renovations and the new chapter for Arundel. Over the years Arundel has made me cry but mostly laugh and I will miss the patients (well some of them), the funny stories, Barbara's special coffees and the general Arundel banter. It's not goodbye, just adieu but thank you all for being such wonderful colleagues and friends. Michelle xxx Hi Team. Thank you for welcoming me as the new practice manager. Your messages of congratulations were much appreciated. I am excited and looking forward to fulfilling this role. Michelle has big boots to fill but I will do my best to continue all her hard work. I will try my best to make the transition as smooth as possible. Over the next few weeks and until we recruit a new nurse, I will still be in the surgery most of the time, however I will be managing the most important tasks too. If I miss anything glaring obvious please let me know 😃. We are due to carry out 2 possibly 3 interviews on Friday so hopefully we will find a new nurse soon. I appreciate the next few weeks/months will be different but hopefully not too stressful. I wish Michelle all best in her exciting new venture but firstly to have a fabulous holiday- I'm looking forward to pics and hearing all about it ! Mandy xx

Appointment Duration for Check-ups The EX15 time has been amended from 20 minutes to the pre-covid 15 minutes. This should help with booking ex/hyg hygienists appointments, avoiding those annoying 10 minute gaps. We will have a period of some 20 minutes and some 15 minutes until this has worked through. Vista Scan Plate Wipes A supply of wipes to clean the xray plates are now stored by the xray machine. Once a month, all the x-ray plates should be wiped. One wipe will clean a number of plates. Surgery Log Changes The new monthly x-ray plate cleaning task has been added to the CN/MC surgery logs. The instrument expiry check section has also been amended. Please record the last expiry date you checked (ie if you are performing the task in February, you would probably check up to 31/3/22), also record the number of pouches you reprocessed. New Patients Please make sure you collect all the patient's personal details (ie full address, post code, dob, mobile, email) when booking an appointment. If the patient was on the waiting list only limited data was recorded initially. The most likely omission is date of birth. GP Details are also often missing when recording medical history.

Open Waiting Room Now the waiting room has re-opened we just need to be aware of a few things : Confidentiality - please be aware of what you say and where ! Lunchtimes - It is likely, particularly if you are on a late lunch, that patients may be in the waiting room while you are on your lunch break. We can discuss our lunch timings at the practice meeting on 3 March. Kitchen Door - please shut the kitchen door so the hygienist patients can't see in as they walk past. Personal Valuables - lock your valuables in a locker and carry the key with you. Patient Contacts Just a reminder to record every patient contact using the telephone icon on the contacts tab. For example, the reason a patient cancelled, why they haven't paid, if they don't want to book hygienist etc. Also, record details of any voicemail message you leave for a patient. This really helps if another colleague deals with a query and when we run our recalls. Appointment Cancellation When cancelling/moving an appointment, please make sure you COPY the original appointment to the clipboard, then cancel it and book a new one. Please don't drag the original appointment to the clipboard, this removes it from the appointment audit trail and can lead to confusion. New Patients All patients who contacted us prior to 1/10/21 have been offered a new patient consultation. Generally, the next couple of months are looking busy so new patient consultations have been paused again. We will review this monthly. In the meantime, continue to use the waiting list for new enquiries but don't provide any time frames for appointments, it is difficult to predict. Chris/Mike may offer a new patient consultation to family members of existing patients if asked - they will give the ok for reception to book these.

Staff Daily Log Sheets From 24/1/22 staff log in sheets have been removed. You no longer need to record your temperature on arrival. If you feel unwell before attending work please make sure you take a lateral flow test. It is really important that you clock in/out of sling properly at the beginning and end of each shift. Sling will no longer automatically clock you out. Please make sure your timesheets are correct each day. Patient Arrival The front door will now be UNLOCKED. When patients check-in for their appointment, reception should ask if they have arrived by car and make sure they are happy to wait there. For walkers etc. reception can tell patients to come straight into practice if waiting room limit (4) allows. Face coverings for patients remains mandatory for healthcare settings. Patient temperature checks will no longer be required. Please quickly check the screening questions and make sure hand gel has been applied. Boxes for personal belongings will continue for the time being. The thermometer is now stored in OXYGEN BAG. New Fees New fees apply from 1/2/22. Main changes are : Check-up - £45 H1 - £56 H2 - £75 There will be some patients who have received a treatment estimate with a hygienist treatment at £54 or £70. We will honour the fee quoted, so there will be a mix of fees coming through for the next couple of months. CPD We are now half way through the CPD year for all DCPs. Looking at the Agilio dashboard, some have done more CPD than others. So, just a reminder not to leave your 10 hours until the last minute. Also, if you are behind with your hours for previous years you will have to do more this year to catch-up. If you want to upload the external CPD certificate for Medical Emergency Training to your agilio account please let Michelle know. Documents Copies of the following documents are required. Nicky - Professional Indemnity Sarah - Professional Indemnity & GDC Natalie - GDC Mandy - GDC Please bring in to copy or email to michelle@arundeldentalpractice.co.uk

Hygienist - Decontamination of Ultrasonic Decontaminating ultrasonics when used back to back can be tricky if both autoclaves are on with other other loads. When this happens, please let reception know so that they can get the load into an autoclave as soon as it becomes available. Filing cabinet reconfiguration The locks on the small filing cabinet have failed. Therefore, all financial items (blue tin), back-up drives and MC antibiotic and whitening stock have been moved to the bottom left drawer of the large cabinets. New Patient Packs CN & MC now have their own stock of new patient packs, so please take from the appropriate basket. Practice Meeting Our regular Practice Meetings have taken rather a back seat during the past 18 months. To get back in the swing, we are blocking some time out for regular lunchtime Practice Meetings. We will alternate between Wednesdays and Thursdays, approximately every 6 weeks. Looking at the appointment books, the next one we have scheduled is Thurs 3 March 2022.

Stock Deliveries At the moment stock deliveries are coming in various boxes and at different times, often without invoices. It's getting quite difficult to work out what has been delivered and what we are still waiting for. So, please wait for a delivery to be checked by Mandy, Becky or Michelle before unpacking. When unpacking please use the stock order sheet to cross reference and mark off all items received. Any backorders need to be written on the sheet pinned to the noticeboard. For small deliveries, please don't forget to update the backorder sheet. Treatment Estimates Receptionists should make sure a treatment estimate is emailed to the patient. Please double check and add an estimate to your appointment confirmation email if necessary. Decon Weekly / Monthly Tasks There are a few decon tasks that are being routinely missed. Autoclaves Door Locks & Microswitch check - these are very simple, does the door open and close properly, can you start a cycle with the door open ? These should be performed at the beginning of the working week. Autoclave Internal Wipe Down - just give the inside a quick wipe (DO NOT USE an alcohol wipe). General Cleaning of Cupboard Fronts, Skirting board capping etc These tasks should be completed on/by Thursday each week, so if you have a moment spare please check what is outstanding. Also, remember that expiry dates of instruments stored in decon need to be checked and re-processed if necessary EVERY MONTH. 2022 Holidays When requesting a holiday can we try requesting it via Sling. It will be easier to track ! On the app, select Shifts, click on the three vertical dots at the upper right of the screen and select Request Time Off. Once a request has been received, the paper record will be updated. From next week any requests received will be listed on the weekly round up so everyone knows exactly what is available and hopefully we can avoid clashes. Remember to request your time off before you book with a third party. 2021 Appointment Analysis During 2021 we provided 7279 appointments. In 2019 we provided 8600 appointments so we aren't back to pre-covid levels. As chair usage has remained the same, the main reason for this was fallow and the increase in appointment times (hygienist to 30 mins and exams to 20 mins). FTA rates remain static at 1.3%, but still equates to 45 hours of wasted clinical time during 2021. We will continue to telephone remind all treatment appointments. We have seen 260 new patients during 2021. 68 of these were from Stephen Davies. In 2020 we saw 132 new patients.

Patient Portal Pre-screen Forms The exact pre-screen forms accessed via the portal have been updated for the new criteria and now reflect our internal screening form. Appointment Reminders We've had a few treatment FTAs recently which is really frustrating seeing as we are currently booking into March. Therefore, all treatment appointments are to have a telephone reminder the day before. Follow up with a text if a voicemail message has been left. Xmas Sessions Just to confirm that telephone lines will be switched on from 8:30 am on Xmas Eve, Wed 29/12 and Fri 31/12. So, everyone needs to be at work by 8:30 am. Appointments will start at 9am. Decon Trays and lining paper now in decon drawers and spare materials are back in surgeries. Chris' spare garrison clamps are in the red garrison box in the surgery drawer (where fuji is stored)

Covid Screening Update The Covid screening questions have changed slightly : 1. Do you have any of the following symptoms: • high temperature or fever? • new, continuous cough? • a loss or alteration to taste or smell? 2. Have you or any member of your household/family had a confirmed diagnosis of COVID-19 in the last 10 days? 3. Are you or any member of your household/family waiting for a COVID-19/SARS-CoV-2 PCR test result? 4. Have you travelled internationally in the last 10 days to a country that is on the government red list? 5. Have you or any member of your household/family been advised to isolate by any NHS organisation in the last 10 days? If patient answers YES to any of these questions then they should only be seen on the respiratory pathway (Level 3 PPE) if urgent treatment is required. Routine/non urgent appointments should be rebooked. Patients with other respiratory symptoms ie runny nose, congestion, sore throat etc. should have a negative lateral flow test (taken on day of appointment) before they attend. Our custom screens have been amended to reflect these changes. SOE - Slow when accessing Patient List Still waiting for SOE to sort this problem out, but if you change the search to First Name then it accesses the list really quickly. For common names Training Reminder to access and update your training records via your link in your account page of our staff area. Medical Emergency training has been added to each record for those that attended. Not much (if any) CPD has been logged this year ! Chlorine Tablets The new stock of chlorine tablets already contain detergent. So, you do not need to add any detergent when dissolving the solution for surgery spray bottles. Document Scanning from Server When scanning from exact on the server please select the CUSTOM option rather than Black/White document - it then saves as a pdf rather than tif.

CPR Training - Tomorrow 26/11/21 - 1 PM Reminder that CPR tomorrow starts at 1pm. SOP Update Infection Prevention and Control have published updated guidance. You can read it here : COVID-19: infection prevention and control dental appendix - GOV.UK (www.gov.uk) In summary, all fit and well patients (ie NO to all covid screening questions) can be treated with LEVEL 2 PPE for non-agp and agp appointments. Fallow has been removed for these patients. Aprons can be worn for AGP instead of gowns. Gowns should still be worn if a procedure is likely to produce excessive splashing. A FRSM Type IIR mask is now acceptable during AGP rather than FFP respirator. However, please feel free to continue wearing your FFP respirator if you feel more comfortable doing so. Patients who answer YES to any of the covid screening questions will be asked to rearrange their appointment unless they require urgent treatment. If urgent treatment is required then patient must attend wearing a FRSM mask and an FFP will still need to worn during an AGP. Fallow time will still be required. All our other COVID procedures (ie waiting outside etc.) will continue. Read our new SOP document here Hygienist - NSK Varios Handpiece With the changes to our SOPs, it is likely the hygienist will be using the ultrasonic scaler more routinely. Therefore, it is important to decontaminate the handpieces asap after use to ensure one is always available. As fallow is no longer a consideration, nurses are able to leave surgeries at any point during the appointment.

It was a lovey evening yesterday wishing Ashley all the best for the next few weeks. Chris & the positive PCR Test All of the patients have now been rearranged. Diaries have been extended Tues, Wed, Thurs until 6pm to accomodate as many treatments as possible. Thank you to everyone who has agreed to work the extra hour. At the moment we have managed to accommodate everyone in these slots without having to open any Saturdays. The rota's will change slightly to share this hour around. Any issues please let Michelle know asap. Holiday Request Sheet The holiday request sheet has had a make-over. There is now a sheet for each Month, and hopefully it will make it easier to see if others have booked/requested the same dates. There are already a number of weeks for 2022 requested & confirmed so please get your request in early. Record Keeping Audit An examination record keeping audit has been completed and a hygienist one is currently underway. The main issue found so far is with Medical History recording. Portal - if patients have completed portal please make sure the REVIEWED button on the medical history tab is clicked. Clinical notes should state "Medical History updated via portal & reviewed" Verbal - UPDATE button on medical history should be clicked. Clinical notes should state "Medical History checked verbally - <no changes or updated> FTR List Thank you everyone for TCing your treatment. This month's list only had 2 treatment courses that hadn't been TC'd.

Tricky week one way or another due to the C word, fingers crossed we have a semblance of normality next week. Ashley is now on maternity leave. Hopefully most of us can make dinner at Trunk next Wednesday. Instrument Tray Cupboard You may have noticed that the decon cupboard where we store the trays has a bit of a mildew issue. The cupboard has had a good clean this week. To stop this issue, please store trays on top of the autoclaves at the end of the day. Putting trays away hot and wet is providing a great atmosphere for the mildew to thrive. Tooth Whitening Just a reminder to order the whitening kit with voucher at the time a TW1 appointment is booked. Also, please add a note on the appointment that the kit has been ordered, so we know it's been done. Lab Work Please make sure the lab is recorded in the clinical notes. We are having to chase work more frequently and it's helpful to know who to ring ! £100 Contactless Limit Chris' pdq has been updated to accept £100 contactless payment. Still waiting for Mike's to be updated. Hygienist Surgery Reusable instrument trays (with paper liner) are now in operation. Making trays up in advance will be a thing of the past. Becky has rearranged the tray drawer to make it easy to quickly make up a tray. Gowns - we still have a supply of white gowns to use up. These are now stored in the hygienist surgery and should be used for hygienist AGPs. The amount of gowns we are going through is eye watering, so it's really important that we use up this white stock, even though they are not quite "as nice" as the blue ones !

Washing Up Can we make washing, drying and putting away all the cups, plates etc. an end of the day task. This isn't on the cleaner's list of jobs and don't want this to be an excuse for her skimping on other areas ! Copy of Documents Copies of the following documents are needed asap : Sarah - GDC and Professional Indemnity Certificates Natalie - GDC and Professional Indemnity Certificates Mandy - GDC Certificate Becky - Professional Indemnity Certificate Tooth Whitening Please ensure that imps and fit are AT LEAST 2 WEEKS apart. Also, please order complete Boutique Kit with tray voucher and whitening products (£60) when booking imps appointment. When kit arrives, write patient name on box so the whitening products are not sold to another patient. Autoclavable Instrument Trays These have been ordered together with the paper liners. Please use residual stock of disposable trays first. Next Week A few holidays next week, so check the rota !

An interesting fact, during Q3 (Jul-Sept) we completed 1939 appointments. The same period in 2020, we completed 1396, so that's a 39% increase. Q3 in 2019 we completed 2091, so we're now just 7% down on pre-covid levels. Cellar Clear Out & Record Shredding Cellar clear out now complete, let's keep it clean & tidy ! Old patient record cards (last visit before 31/12/2005) will be confidentially shredded and the bags from Emerge have now arrived. All xrays need to be removed before placing in the collection bags. We need to complete this job within the next couple of weeks, so any spare moments please help ! There is a box in reception to go through. Potentially Covid Infectious Pop Ups These pop-ups occur when a patient answers YES to any portal screening question. These pop-ups stay active until the Do Not Pop Up Again box is ticked, so they may be many months out of date and therefore not relevant. So, if you see a Potentially Infectious Pop Up, tick the Do Not Pop Up Again box. Look at the contacts tab and medical history tab for details on the specific portal answers. Patient Portal - Two Factor Authentication For data security reasons and to fully comply with GDPR Two Factor Authentication has been switched on for the portal. When patient logs onto the portal, a sms with verification code will be sent. They must use this code to gain access to their information. For patients without a mobile number - we will place their home telephone number in the mobile field and trial that. They should get a "talking sms" to their landline. Reminder emails have been updated to reference Two Factor Authentication. Antibiotic Prescribing A reminder to record the batch number/expiry dates for all antibiotics dispensed. During Q3 (Jul-Sep) only 85% of batch number/expiry dates were recorded for Chris' prescriptions. Pharmacy dispensed items still need to be recorded with the PABT service code in the clinical notes. The PABT custom screen now has a new field called MITIGATION. Please complete this field if antibiotic prescribing is not indicated as per the AB Prescribing guidance. PLEASE LIKE THIS POST SO WE KNOW YOU ARE UP TO DATE ! Feel free to post any comments

Well done to the intrepid Practice walkers ! Hygienist Treatment Codes The hygienist treatment codes have had an overhaul. Hopefully, they are a bit clearer ! H1 - Hygienist Supportive Therapy - 30 mins - £54 H1-AGP - Hygienist Supportive Therapy - 30 mins - £54 H1-DENESS - Hygienist Supportive Therapy - 30 mins - Denplan Essentials Patients H1-AGP-DENESS - Hygienist Supportive Therapy - 30 mins - Denplan Essentials Patients H2 - Hygienist Supportive Therapy - 40 mins - £70 H3 - Hygienist Supportive Therapy - 60 mins - £120 HC1 - Child Visit - 15 mins - £27 HC2 - Child aged 14-16 - 20 mins - £42 HIT codes remain the same. H1 time/charge can be amended by dentist as required - especially useful for patients with only a few teeth. The hygienist is in full control over the way they deliver each appointment. Therefore, they could decide to use the USS during a H1 appointment. Using H1-AGP code just helps day list planning. H2 & H3 will ALWAYS be an AGP. Waste Waste collection remains a frustrating area. We have recently had a discrepancy with the waste recorded as collected and waste actually collected. Due to COVID, PHS are not requesting a signature on their device, so we can't check that they collected every item on the schedule. Therefore, if you are the person dealing with the waste driver please confirm exactly what is on the schedule and ask to see the tracking entry on their device. Make sure the paper record on our noticeboard is updated correctly and it will be cross-referenced with the consignment note received. Next Week Mains wire electrical testing is taking place over the weekend. Chris and Mike are off on their conference Thursday and Friday. Skip will be delivered Wednesday afternoon and collected Friday. Cellar clear out will take place on Thursday. PAT testing of electrical appliances is booked from 9am on Thursday. Hygienist will need to use another surgery at some point during morning whilst appliances in their room are tested. Members Account - Links to holiday and training records Links have been added to nurses/receptionist accounts for holiday and training records. Try it out, it's completely new feature so there may be a few teething problems. To access : When you have logged into the Team Area, you will see your name and a down arrow. Click this down arrow and a menu will be displayed. Select My Account. This will display Your Account Page. Click on either the Holiday or Training record link field, select the entire text and copy. Paste the web address into your browser (safari etc.). I can't make these fields read-only at the moment so be careful not to amend the web address, otherwise it won't work ! PLEASE NOTE - do not amend the holiday record, this is a copy of a file saved on my system so any changes will not be saved. Training records can be amended and you may find this useful to update from home.

Not too much to report this week but big congratulations to Mike and Af on the baby news. Additional Uniforms If you have ordered additional scrubs, I propose to deduct the cost of these from your September wages. If anyone would prefer to pay separately please let me know before 29/9/21. Covid Screening at door Just to quicken the process up, you don't need to ask patients if they have completed the form online etc. Just run through the questions briefly ie Are you feeling fit and well ?, Not experiencing any COVID symptoms ? Patient Processing at Reception Ask patient to wear mask if they have brought one. If they don't have one and are just going to the desk briefly to pay etc. you don't need to give them a mask. Reception staff are protected by the screens. If patient is seated in waiting room then they should be provided with a mask. The reminder email has been amended to specifically ask patients to bring a face covering. CN Weds Afternoons Wednesday afternoons have been opened for Chris up to Xmas. These are for TREATMENT ONLY, and marked as such in the appointment book. Please do not book any routine appointments in these slots even if you are struggling to find alternatives !

CPR / Practice Meeting Reminder that CPR is Thursday 9 Sept from 1pm with a short Practice meeting after. New Patient Waiting List As you are aware, new patient registrations are currently suspended. We will review again in January 2022. A lot of the enquiries we are receiving wish to be contacted after this review. Rather than having bits of paper with names and numbers on, we will adopt the following method of recording these enquiries : Add patient to exact. Take name, mobile number and email. No other personal information required at this stage. Click on Waiting List Tab and add to New Patient Registration Waiting List. When review has been completed we can then send update emails to all patients on this waiting list.

This includes those who live with a covid positive person. If you live with someone who has symptoms or tested positive then you must arrange a PCR test immediately. You can not attend work until you receive a negative PCR test. Once a negative result has been obtained it is recommended that you take a lateral flow test before work every day for the next 10 days.
