Practice Meeting 10/06/2026
Present – ML. CN, MC, ZT, NL, OC, NH, RAS (locum)
Confidentiality – Please always check who is calling- please get D of B or the address at the start of the call. If is it not the patient, and no consent form completed, please do not divulge any treatment or payment details. We discussed whether to share appointment details i.e. when husband/wife calls- please use your discretion- we should not be divulging any details to a third party unless we have a consent form signed.
Estimate and appointment card on the same email- There is now an option to have the appointment card and estimate on the same email. There are instructions in the top drawer. This keeps it more compact for the patient. I will eventually remove the other email saying the appointment card will follow. If unsure, please ask.
RCT consent- CN, MC & LG- If an RCT is indicated-nurses, please try & ensure the patient leaves the room with a RCT consent form- reception, when booking in an RCT, please check that a consent form has been given. We can also attach consent forms to emails. It is on REC2 desktop > log sheets > RCT informed consent. Reception, on arrival for RCT 1, please collect consent from pt; if they have forgotten, give them another.
TW consent- These are still getting missed at TW1 appts- reception, please remember to print out as you do the reminders the day before- nurses, please check your day list on opening the surgery and if not there, print off ahead of the appt.
Returning patients- If a patient returns to the practice that has been previously archived. We need to locate card and bring it up from the cellar- if there is no time at booking, please set a task.
Downstairs fridge- this was left open this/last week- please make sure it is closed.
Stock in the cellar- please make sure lid is on securely as all gets damp, especially the spare OH stock. In general, only put stock in the cellar that can be in a closed plastic box esp. masks, paper towels, bibs, etc. If it doesn’t fit in the box, put somewhere else but let RS know.
General waste bin- We are no longer using the orange bags (prev. kept in the cleaning cupboard) for general waste. We now have a wheelie bin- big green one with Waste Solutions on the front; this will be collected every 2 weeks. Please put general waste in here at the end of each day- not in the cleaning cupboard.
Hyg appts- We are getting quite a few gaps as we now have more availability. Please keep using SNC list and trying to fill as best we can. Please try and keep continuity with hygienist when possible, however, there is no need to keep asking pts about which hygienist they want to see- esp. Tuesdays pm when Lauren starts (obviously, they need to know it is a different hygienist). All future appointments on Tues pm have received an email explaining this. If patients express that they prefer a particular hygienist, please put on a pop up. If a patient has consistently seen one hyg but then take an appointment with a different hyg, when booking recall, please try and put pt back with the hygienist they usually see.
New Computer and new Xray software – we have recently had a new server computer and the new X-ray software is to be installed this week. – hopefully this will go smoothly. The software will look different (prev. DBS Win). It will now be Vista Soft. It may be different to use- I will update you all next week.
NL sick leave- as most of you are aware, Natasha will be absent for a period of 6 weeks + following her surgery (mid-July onwards). In this period, we will be short staffed- I have covered the shifts with myself, other staff members & locums.
MC/JS referral packs – we are still working on MC/JS referral packs. We are hoping to get finished these finished and sent to the printer later this month. We discussed whether to hold rolling this out till after Summer hols.
First Aid at Work - ZT/ML completed a full day First Aid at work course last week. If was really informative and we learnt lots of new things. There were a couple of changes since out last training so I will put together an extra short meeting to share this information.
FIRE DRILL – we discussed our Fire Drill & Evacuation Procedure.
CPD Club- This has ended for this year. Thank you to all completed all the courses. If you have kept up, you should have 14.5 hours for this year- if not, please crack on it will soon be July !! The club will resume in August 😊
World Cup- Thank you to Becky for organising the sweepstake. I’ve drawn Mexico, Austria and the Democratic Republic of the Congo- so you all better watch out!! ⚽😂
Another Practice Walk- we briefly discussed another practice walk. There were lots of suggestions about where to go. I will suggest some dates over the summer.
