Staff Meeting 22/05/2024

Fire Drill- brief recap- can you all please refresh your knowledge of our fire drill procedure- on the wall above the xray machine.
Reception
- Dentists/Nurse if 12m recalls are recommended please change the recall setting on Exact; otherwise, they will receive a recall reminder at 6/12.
- When we notified of a patient’s death, as well as making the record inactive and archiving record, please set the recall to ‘Do Not Recall’
- If a patient sends an email to cancel an appointment, please reply to email to acknowledge their cancellation.
- There is now a Short Notice Cancellation with Charge email template.
- Under 10’s- I am now emailing parents to inform them of the £20 exam fee for children over 10.
- Denplan- there is no joining fee for joining Denplan whilst we are a Denplan + practice (previously £15.00 admin fee). Also, I have amended the Denplan Ess email and our website to make it clearer not to join Denplan before the New Patient Consultation. We have removed Denplan Essentials Band A (1 exam, 1 hyg per year) from our website and email; this option is only available if recommended by the dentist.
- Please don’t set tasks to ML, set to REC2 and mark FAO Mandy.
- If we are reappointing patients for holidays etc.- please make sure the appointment is out of the appt book before the 4 day email goes automatically.
General
- Tooth Whitening- we now do a weekly check on TW1 appointments to ensure we have enough kits in stock. Also, we are going to give the patient TW consent at TW1 appointment (prev. signed at TW2 appt). They can then take this away and read through. Reception will print consent forms and put with the day lists. When reminding pts, please ask pts to bring consent form back.
- Nurses- please set tasks for your dentist if you hear them say are going to refer a patient to any other place; and if they have not done their notes. It doesn’t have to be detailed just REF or NOTES will do.
- All staff inc. dentists- for anything relevant/important, please leave a note on telephone tab or pop up eg. notes about lab work.
- Sickness- if you feel really unwell, please do not come in or go home. Any cough/ cold symptoms, please wear your mask whenever possible.
- Stock- when putting stock away, please check back-order lists and add to back-order list if invoice state ‘to follow’.
- Sling- when making holiday requests on Sling, please only request the days you work. This makes the rota easier to manage.
- Decorator in on May 30/31 and June 6/7 to redecorate the stairs and upstairs landing- the kitchen may be difficult to use. We will bring the kettle and brew stuff downstairs. Hopefully, he will decorate the downstairs soon after.
Clinical
- I have recently reviewed the Sharps Risk Assessment. Just to reiterate, only clinicians should be handling sharps. This includes making up LA syringes and dismantling matrix bands. If the clinician has covered the sharp with the cover, it is ok to dismantle syringes as sharp completely covered.
- Hand hygiene audit- this is an audit looks favourable for CQC and Denplan so we will be auditing hand hygiene every 6/12, starting next month. We then discussed the 7 steps of effective handwashing. It would appear we would all benefit from completing the Hand Hygiene module on Agilio.
- Decon- the dirty end of the decon is often very wet including under the autoclaves. Please try and minimise the slosh 😊
- CPD- there are still a few not done the last topic- Safeguarding Level 3. I asked if we still want me to continue with topics or would you prefer to crack on independently. We decided I would still ‘suggest’
topics’ at each meeting. Nurses- it is not that long till we need to submit our annual CPD to the GDC. There are a few of us needing ‘Radiography’ and ‘Disinfection & Decontamination’. So before next meeting could you please do
1 hour of Radiography, 2/3 Disinfection & Decontamination courses including Hand Hygiene.
Team Building
- Euro 2024 Sweepstake- £2.00 per person- Euro’s start 14/06/2024.
- Summer Garden Party set for Friday 12th July in Mike’s garden. Featuring Arundel Olympics, Charity Shop Fashion Show including catwalk (details to follow) 😊
